For most Australian professional services firms, Zapier is the right starting point and n8n is the right destination once you outgrow it. Choose Zapier if you want the fastest path to working automations, have fewer than a few hundred tasks a month, and are comfortable with client data passing through a US-hosted platform under its standard terms. Choose n8n if you need to control where data lives (including hosting it in Australia), you run high-volume or complex workflows, or you have someone technical who can maintain it. The two are not really competitors — they solve the same problem for firms at different stages.
This article is for accountants, lawyers, real estate agencies and conveyancers who have decided to automate something and now have to pick the platform. If you are still deciding what to automate, start with what admin work you should automate before hiring, then come back here.
What is the actual difference between n8n and Zapier?
Both connect your apps and move data between them when something happens — a form is submitted, an email arrives, a matter is created. The difference is in how they are built and who runs them.
Zapier is a fully hosted, no-code platform. You log in, connect your apps, build "Zaps" in a linear editor, and Zapier runs everything on its own servers in the United States. You never touch infrastructure. You pay per task and per feature tier.
n8n is an open-source workflow tool that you can either self-host (on your own server or an Australian cloud instance) or run on n8n's paid cloud. It uses a visual node-based canvas that supports branching, loops and custom code. It is more powerful and far more flexible, but someone has to set it up and keep it running.
| Factor | Zapier | n8n |
|---|---|---|
| Setup effort | Minutes; no technical skill | Hours to days; technical for self-hosting |
| Hosting | US-hosted, managed for you | Self-host anywhere (incl. Australia) or n8n cloud |
| Pricing model | Per task, tiered features | Free if self-hosted (you pay for the server); flat plans on cloud |
| Data control | Passes through Zapier's servers | Full control when self-hosted |
| Complex logic | Limited; gets expensive | Branching, loops, custom code natively |
| Maintenance burden | None | Ongoing (updates, uptime, backups) |
| Who owns it after | Locked to your Zapier account | You own the workflows and the data |
The decision framework: three questions that settle it
Ignore feature lists. Three things decide this for a professional services firm: how sensitive your data is, how big and complex your automations are, and whether you have any technical capacity in-house or on call.
1. How sensitive is the data moving through the workflow?
This is the one that matters most for firms bound by professional obligations. A conveyancer moving trust account details, a lawyer moving matter files, an accountant moving TFNs and financials — this data carries duties under the Privacy Act 1988 and your professional conduct rules.
Zapier is a reputable platform, but with Zapier your client data transits and is briefly stored on US servers. For many low-sensitivity workflows (booking confirmations, marketing follow-ups, internal notifications) that is perfectly acceptable. For workflows carrying identifiable client financials or legal matter content, you need to check whether that cross-border disclosure is consistent with your privacy obligations. We cover the detail in whether AI is safe for client data under the Australian Privacy Act.
n8n self-hosted on an Australian server keeps that data inside your own environment. Nothing transits a third party. For firms with high data-sensitivity and a low appetite for cross-border disclosure risk, this is the single strongest argument for n8n.
2. How complex and high-volume are your workflows?
Zapier is brilliant for linear "when this, then that" automations. Once you need multiple branches, conditional logic, loops over lists of records, or the same workflow running thousands of times a month, two things happen: it gets fiddly to build, and it gets expensive because you pay per task.
n8n handles complex logic natively and, when self-hosted, does not charge per execution. A firm processing a high volume of documents, matters or transactions will hit Zapier's cost ceiling well before n8n's.
3. Do you have any technical capacity?
Be honest here. n8n self-hosting means someone maintains a server, applies updates, monitors uptime and restores from backups when something breaks. If nobody in your firm can do that and you have no one on retainer, self-hosted n8n will quietly rot and fail at the worst moment.
If you have no technical capacity and no budget for support, Zapier — or n8n's managed cloud — is the honest answer.
Which should each type of firm choose?
These are starting recommendations, not rules. Your specific mix of the three factors above overrides them.
- Solo and small firms (1–5 people), standard workflows: Zapier. The time saved getting live quickly outweighs everything else. Our walkthrough of Zapier for lawyers shows the kind of quick wins that suit this stage.
- Small firms handling highly sensitive data: n8n on an Australian-hosted instance, or Zapier confined strictly to low-sensitivity workflows while sensitive ones stay manual or move to n8n.
- Growing firms (5–20 people) with rising task volume: Start on Zapier, plan a migration path to n8n before task costs bite. Build your Zaps as if you will rebuild them later.
- Firms with in-house IT or a managed provider: n8n gives you more capability per dollar and full data control. Worth it from the start.
What Zapier automation in Australia actually costs versus n8n
Zapier's pricing is per task (each action step counts) and steps up by tier as you add features like multi-step Zaps and premium app connections. It is predictable at low volume and can climb sharply at high volume. It is billed in US dollars.
Self-hosted n8n has effectively no per-task cost — you pay for the server it runs on, which for most small firms is modest, plus whatever you spend on someone to maintain it. n8n cloud sits in between: flat monthly plans with no per-task charge, hosted for you but not in Australia by default.
The honest total-cost comparison includes labour. Zapier's "expensive" plan can still be cheaper than n8n once you count the hours of maintaining a server. For a full breakdown of what firms actually spend, see how much AI automation costs for a small firm in Australia.
What goes wrong, and how to tell early
Both platforms fail in predictable ways. Knowing the failure modes early saves you a rebuild.
- Silent failures. A workflow stops firing and nobody notices for weeks. On Zapier, turn on error notifications from day one. On n8n, configure alerting — self-hosting means no one is watching but you.
- Cost creep on Zapier. Task usage grows quietly as you add Zaps. Review usage monthly; a workflow looping over records can burn tasks fast.
- Neglected n8n servers. Skipped updates and no backups turn a self-hosted instance into a liability. If you cannot commit to maintenance, do not self-host.
- Vendor lock-in. Zaps live in Zapier and do not export cleanly. If ownership and portability matter to you, that is a point for n8n, where you own the workflow definitions outright.
- Over-automation. The biggest failure is automating a judgement call that should stay human. Neither tool should sign off advice, approve a settlement figure or send a legal document without a person in the loop.
When automation is the wrong answer entirely
If a process runs a handful of times a month, changes constantly, or hinges on professional judgement, leave it manual. The effort of building and maintaining a workflow only pays off on tasks that are frequent, stable and rule-based. Automate the repetitive plumbing around your expertise — intake, reminders, data entry, notifications — and keep the expertise human. If you are unsure whether a task qualifies, our implementation guide for professional services covers how to scope it before you build.
A sensible path for most firms
Start with Zapier to prove the workflow delivers value. Keep sensitive-data workflows out of it until you have checked your privacy position. As volume, complexity or data-sensitivity grows, migrate the workflows that justify it to n8n — ideally Australian-hosted — and keep the simple, low-risk ones on Zapier. Running both is common and completely reasonable.

Common questions
Is n8n better than Zapier for small firms?
Not usually, at least not to begin with. Zapier gets a small firm live in minutes with no technical skill, which is worth more than n8n's extra power for simple workflows. n8n becomes the better choice when you need Australian data hosting, run high task volumes, or need complex branching logic, and you have someone technical to maintain it.
Can I self-host n8n in Australia to meet privacy obligations?
Yes. n8n can be self-hosted on an Australian cloud instance or your own server, so client data never transits a third party overseas. This is the main reason firms handling sensitive legal or financial data prefer n8n over Zapier, which routes data through US servers. You still need to configure security, backups and access controls properly.
Is Zapier safe to use for client data in Australia?
For low-sensitivity workflows, generally yes. Zapier is a reputable platform, but your data transits and is briefly stored on US servers, which is a cross-border disclosure under the Privacy Act. Before moving identifiable client financials or legal matter content through it, confirm that disclosure is consistent with your privacy and professional conduct obligations.
How much does Zapier automation cost in Australia?
Zapier charges per task in US dollars and steps up by feature tier. It is predictable and affordable at low volume but climbs sharply as task counts grow. Self-hosted n8n has no per-task fee — you pay only for the server and maintenance. Include labour in any comparison, as it often changes which option is genuinely cheaper.
Can I use both n8n and Zapier together?
Yes, and many firms do. A common setup keeps simple, low-risk workflows on Zapier for speed and convenience, while sensitive-data or high-volume workflows run on self-hosted n8n for control and cost. Splitting them this way lets you match each workflow to the platform that suits its risk profile and volume.
